MEETINGS

Art Club Meetings are held the first Monday of every month at 6:30pm in the Lodge from September – May. Meetings will include a Club update and a presentation or demonstration related to art design, mediums, and techniques. New Members and visitors are always welcome.

MEMBERSHIP

Membership is open to everyone inside and outside of the Lake Waynoka Community. There is no membership fee, however, it is requested that new members fill out an Art Club Membership Form.

CONSTITUTION AND BY-LAWS

Listed below is the Lake Waynoka Art Club Constitution and By-laws.

Article I. NAME
The name of this club shall be The Lake Waynoka Art Club of Lake Waynoka Ohio.

Article II. GOALS AND PURPOSE

  • Beautification of the Lake
  • Promote art through group participation
  • Stimulate artistic interest in the community
  • Promote art education
  • Make new friends through the love of art
  • Destination Park maintenance and growth

Article III. MEMBERSHIP

Section 1:

New members are requested to complete the Membership Form.

Section 2:

Membership is open to everyone who has a love of art, creativity, and having fun.

Section 3:

The club will meet collectively each month from September through May for club updates, presentations, and activities. Meetings will be held the second Monday of each month.

Section 4:

Each member will regularly attend club meetings and support events/activities. Members are encouraged to share their art expertise and experiences at meetings and events.

Article IV. OFFICERS

Section 1:

The officers of the Lake Waynoka Art Club are the President, Vice President, Secretary, Treasurer and Member-at-Large. Addition or subtraction of any officer will be voted on by the existing officers.

Section 2:

Only members in good standing will serve as officers.

Section 3:

Officers will serve a 1-year term starting in September of the current year. Officers may serve multiple terms.

Section 4:

When an Officer’s term is coming to an end, a request will go out to the membership for candidates. The request will be sent out in May via email, posted in the WPOA newsletter and on Facebook. Candidates will submit their interest in becoming an officer to the Secretary. The Secretary will notify the candidate of receipt of the submission.

Section 5:

The Secretary will present all candidates to the Executive Officers at the July Executive Club Meeting. The existing Executive Officers will select the new Officers. The President will contact the new Officer(s) and invite them to the August Executive Club Meeting. New Officers will be presented at the September Club Meeting.

Section 6:

Officers will meet every month of the year for an Executive Club Meeting.

Section 7:

Officer Responsibilities

President:

  • Preside over all meetings
  • Prepare monthly Art Club Report
  • Submit monthly report to WPOA Events Coordinator for the WPOA newsletter
  • Oversee Club Officers and activities/events
  • Be available to assist with events/activities
  • Manage Art Club Supply Room keys and distribute to only Officers
  • Distribute supply room keys to non-officers/members on an as needed short term basis

Vice President:

  • Assist President in all areas of the Club
  • Be available to assist with events/activities

Treasurer:

  • Manage money for the Club and oversee bank account
  • Ensure Officer approval is obtained for purchases over $50.00
  • Pay invoices submitted with a receipt
  • Deposit money received from activities or fees
  • Provide monthly report of account balances to Executive Officers
  • Be available to assist with events/activities

Secretary:

  • Record minutes of all meetings; Executive and Club
    • Send Club meeting minutes to all club members
    • Send Executive meetings minutes to Executive members
    • Retain electronic copies for sharing and review (1 year retention)
  • Membership
    • Retain membership applications
    • Submit membership payments to treasurer
    • Update membership email list
  • By-Laws and pertinent communications/letters
    • Retain hard copy documents in Art Club Binder
    • Retain electronic documents for sharing
  • Fliers
    • Coordinate with Art Club Event/Activity Leader the flier “look”; including time, location, activity, and when to post
    • Create event/activity fliers
  • Newsletter
    • Submit event/activity fliers to WPOA Newsletter Editor
  • Facebook
    • Submit event/activity fliers to WPOA Events Coordinator to post on WPOA Facebook page
    • Post activity fliers on Art Club Facebook page
  • Facility/Room/Location Reservations
    • Coordinate with Art Club Event/Activity Leader facility needs
      • Facility/Room/Location needed
      • Set up and take down times
      • Tables/chairs/supply needed
    • Submit facility requests to WPOA Events Coordinator
      • Dates/times of events and the room(s), location required
      • Tables/chairs/supplies from WPOA
  • Be available to assist with events/activities

Member at Large:

  • Provide creative ideas and guidance for Club activities and events
  • Attend Executive Club Meetings
  • Cast vote in the event of a tie in voting process of Executive Officers
  • Be available to assist with events/activities

Article V. CHANGES TO THE BY-LAWS

Section 1:

Changes to the By-Laws can only be made by the Executive Officers.

Section 2:

Officers may revise the By-Laws at any time. Officers will approve By-Law changes at Executive meetings.

Section 3:

Any Club member may submit, to the President, a By-Laws change request. The President will notify the member of receipt of the By-Laws change request. By-Laws change requests will be reviewed and approved or denied by the Executive Officers. The President will notify the member of the approval or denial of the change request.

Section 4:

The Secretary will notify the Club membership, via email, of any By-Laws changes.
